Exhibitor Registration


Welcome to 2024 Annual Conference on-line booth sales!

More than 100 exhibitors will share products, services, programs, and solutions with the zoo and aquarium community in the Exhibit Hall.  For more information, please contact Grace Hamilton.

RATES: Most booth spaces are 10’ x 10’. Corner space premium is an additional $200 per corner.

MEMBERS The first two 10 x 10 units are $2,500 each. Additional spaces are $2,100 each*. Company must be an AZA Commercial Member, Accredited Institution, Related Facility, or Conservation Partner in good standing with up to date paid dues to qualify. Please note that you must renew your AZA membership in order to receive exhibiting discounts. To find out more about joining the AZA, visit the AZA website. 

NON-PROFITS/GOVERNMENT Each 10 x 10 space is $3,050 each. 
Organizations that are not an AZA members but support the mission of AZA must be a not-for-profit entities, accredited academic institutions, or government agency to qualify. 

NON-MEMBERS Each space is $3,600 each. 
All for-profit vendors that are not organizational members of AZA are eligible for standard booth rate.

NEW for 2024! AZA Expo LIVE is a new exhibit hall theater, allowing your company or organization the opportunity to share programming content in the Annual Conference Exhibit Hall. AZA Expo LIVE provides 30-minute sessions that are focused, high-value LIVE marketing spots for exhibitors, sponsors, and advertisers. The theater is set for approximately 50 attendees and attendance may vary depending on the topic.

AZA Expo LIVE presentations may be used for demonstrating new and existing products, technology, and services that would be of interest to attendees. Time slots for the AZA Expo LIVE may be reserved at the time of booth selection. See the prospectus for more information. AZA CMEC members receive priority selection for timeslots.

Ready to select space? Here is how it works:

  1. Enter the information to be published in Exhibitor Listings.
  2. Complete the questions regarding your booth location preferences. 
  3. Choose the booth space you desire and additional advertising opportunities to enhance your visibility. 
  4. Enter payment information and click submit.  (If selecting space on or after July 22nd, booth fee must be paid in full by credit card at the time of space selection. Contact Show Management prior to space selection if alternate payment method is desired.)
  5. Acknowledgment of your space request and a separate, final confirmation of your assignment will be sent via email.
  6. COMPLETED PAPERWORK: You submit the completed Exhibitor Agreement immediately after receiving confirmation that your reservation has been approved. In addition, a hard copy of the Certificate of Insurance form must be delivered to the AZA office by July 26, 2024.  Exhibitors without a certificate on file will not be granted access to exhibit space in any circumstance.

CANCELATION: All requests for cancelation or reduction of exhibit space must be made in writing and shall become effective upon receipt by AZA. Due to the difficulty of determining and detailing the losses which would result from cancelation of exhibit space, the Exhibitor agrees to pay the following as liquidated damages (and not as a penalty) if the Exhibitor cancels its exhibit space: If written notice of cancelation is received by AZA on or before June 21, 2024, AZA will retain the non-refundable $500 deposit and refund all other payments; if written notice of cancelation is received by AZA June 22, 2024 but on or before July 21, 2024, AZA will retain or shall be owed a cancelation fee of $500, in addition to the $500 deposit paid during booth selection. If written notice of cancelation is received by AZA on or after July 22, 2024, AZA will retain or shall be owed a cancelation fee equal to 100% of the total exhibit fee.

PRINTING DEADLINE: Exhibitors selecting and/or paying for space after August 7, 2024 may not be listed in the official program book.
